Roadshows and Drop in Sessions
Roadshows or drop in sessions can be a successful method of consulting with the public particularly when you want to inform communities of changes to service delivery and seek opinions or feedback.
- You can take issues to a number of communities
- Useful way of giving visual presentation to inform the public
- Can be an informal means of obtaining the views of the community
- Can be carried out in-house
- Staff get the opportunity to discuss issues with the public
- Roadshows and drop in sessions may not give you robust quantitative information that is representative of the population
If you feel that this is the most appropriate method of consultation then proceed with the planning for the event. If not consider alternative consultation methods.
Key steps to planning roadshows or drop in sessions:
- Identify what you want to achieve from the event
- Train staff on their roles
- Choose venues that have good public transport links and adequate parking
- Ensure the venues have access for people with physical disabilities
- Give careful consideration to the best time to hold the event that will ensure attendance from relevant groups that you want to consult with
- Publicise the event to ensure a good attendance - Corporate Communications may be able to advise
- Plan the layout of the event to achieve maximum impact
- Think about whether you want to provide refreshments e.g. tea/coffee and budget for catering
- Consider how you would gather quantitative information e.g. short questionnaire to gather views on issue or survey to gain information on who attended to produce attendance figures
